Instituto Familiar de la Raza, Inc. is a multi-service community health and social service agency with an emphasis on serving the Chicano/Latino/Indígena community in San Francisco with a special focus on the diverse needs of the Mission District. Services include a wide range of mental health, HIV-related services, and social services, including health promotion, education, prevention, early intervention, case management, and psychological and psychiatric interventions, as well as cultural/social and spiritual re-enforcement. The agency serves children, youth, adults, and families. It has a rich history of working collaboratively with other agencies to meet the needs of the Chicano/Latino/Indígena community and other cultural/racial communities in San Francisco.

Initiative Description

The Roadmap to Peace Initiative (RTP) is the collective effort of community stakeholders to address the needs of underserved Chicanx/Latinx/Indigena youth and young adults vulnerable to street violence, justice involvement, and disconnected from learning opportunities. RTP is a community-driven solution inspired and informed by decades of community prevention and culturally affirming strategies that work to heal Chicanx/Latinx/Indigena youth and their families.

Grounded in a community-driven collective impact approach, Roadmap to Peace brings together diverse stakeholders to build community, remove barriers through policy change, and foster a comprehensive social support network for youth for healing.

This initiative aspires to build peaceful communities by breaking the cycle of violence by engaging youth and young adults in healthy and healing relationships. RTP is committed to improving the social, economic health and safety outcomes of our most vulnerable Chicanx/Latinx/Indigena youth ages 13-24, in and from San Francisco.

Job/Program Description

The Data Coordinator (DC) is a member of the Core Staff Team of the Roadmap to Peace Initiative, an initiative of Instituto Familiar de la Raza. The DC strengthens and builds capacity across the initiative by implementing data collection, data learning, reporting, evaluation, and quality improvement processes. The DC oversees the initiative's data systems (Salesforce, CMS, FormsAssembly), leads the bi-weekly "Data Cafecito" training series, conducts monthly data audits, supports program evaluation, and coordinates reporting to funders and partners.

The DC reports to the Program Manager (PM) and works closely with the Service Network Coordinator (SNC) and external evaluators as needed. This is a part-time, non-exempt position at 20 hours/week (50% FTE), with eligibility for medical, dental, vision, vacation, sick leave, paid holidays, and a 403(b) plan.

Essential Job Duties are, but are not limited to the following:
  • In consultation with the Service Network Coordinator and the Program Manager, the Data Coordinator:
  • Oversees data collection, data entry, database management, data analysis, and reporting activities across RTP.
  • Conducts quarterly productivity reports, monthly program deliverable checks, and monthly audits.
  • Facilitates bi-weekly "Data Cafecito" workshops with RTP Service Network Partners to strengthen data capacity.
  • Maintains high-quality documentation of RTP’s data processes and ensures internal Standard Operating Procedures (SOPs) are created and updated.
  • Supports the development of evaluation tools for all workshops and programs.
  • Coordinates the initiative's data strategy, including an annual research and data science agenda.
  • Supports monthly, quarterly, and annual reporting deliverables to funders and partners.
  • Develops and maintains relationships with external partners, including SFUSD, Salesforce/Exponent Partners, and BACR.

Data Collection, Analysis, Reporting, Capacity Building:

  • Responsible for efficiently organizing and storing data with attention to security and confidentiality, that comply with federal, state, and local regulations.
  • Have a command of Excel, Google Sheets and/or other data management systems and easily work within various data platforms, including Excel.
  • Support in the design and implementation of reliable, secure, and efficient data-related policies, procedures, and data management systems that allow for effective quality data collection.
  • Under the direction of the PM, participate in the development and implementation of the data and learning plan for the initiative to ensure a strong data collection culture and effort.
  • Work with Initiative staff to build capacity in data entry and data collection processes, more specifically during the Data Cafes.
  • Work to ensure digital databases (CMS and Salesforce) and other archives are protected from security breaches and data losses. Coordinate user security access with authorized users to confidential databases.
  • Work with PM and SNC to ensure that service-based and service coordination tools and CMS also serve as effective data collection tools (i.e., global intake and global assessment care management tools, client service tracking systems, etc.).
  • Interpret data and analyze results using statistical techniques. Analyze and interpret trends or patterns in complex data sets. Support with the community needs assessment process for the initiative.
  • Inventory existing data landscape for the initiative, including sources, accessible data, and gap analysis. Make recommendations for software, hardware, and data storage upgrades.
  • Coordinate data-sharing agreements with relevant partners and institutions to facilitate data collection.
  • Filter and “clean” data by reviewing and cross-referencing multiple databases/data systems (CMS, trackers, Salesforce, etc.) for quality assurance, accuracy and legitimacy of data.
  • In the future, support the development of creating an annual data “dashboard” and results reports and work with partner organizations to prepare topical data reports on both individual and aggregate participant data.
  • Assist Instituto contract management team with the production of quarterly partner productivity reports to track progress towards contract outcomes as needed.
  • Produce monthly reports and PPT presentations for the Initiative, as needed, that then feed into the quarterly partner productivity reports.
  • Under the direction of the PM, work with data consultants (as needed) and/or supervise interns on assigned projects.
  • Troubleshoot data-related problems with core staff and initiative staff.
  • Conduct data entry where needed and appropriate.
  • Other duties as assigned.

Internal/External Communication and Community Engagement:

  • Work with PM and SC to help synthesize data analysis into clear, relevant, and visually appealing materials that can be used both internally and externally by the initiative for reporting purposes and to make strategic decisions.
  • Creatively present data in a way that can be easily and quickly grasped by internal and external initiative stakeholders.
  • Interact with outside agencies, consultants, and the public to produce and present periodic progress reports regarding the initiative’s data work.
  • Participate in relevant internal and external meetings related to data and learning.
  • Present data analysis and trends at Core Staff and Service Network meetings.
  • Prepare monthly talking points and media updates for Core Staff.
  • Coordinate data-sharing agreements and ensure data security compliance.
  • Create data presentations that are accessible to non-technical audiences.
  • Maintain regular communication with external partners regarding data management and deliverables.
  • Lead, facilitate, and draft agendas for RTP’s monthly Data Work Group.
  • Participate in cultural events, relevant activities, and represent RTP as needed.

Administrative and Operational:

  • Track, update, and organize all files in the RTP Data & Learning Drive.
  • Submit timesheets weekly via Paycom.
  • Prepare coverage plans during periods of absence, following RTP templates.
  • Update and maintain SOPs for all data processes.
  • Monitor learning and training opportunities to grow professional capacity in data science and nonprofit data practices.

REQUIRED SKILLS:

  • Bachelor’s degree in a relevant field. An advanced degree is preferred.
  • At least two years of experience in data analysis and reporting, including strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
  • Experience with Microsoft Suite (especially Excel and PPT).
  • Experience with maneuvering within databases and data collection tools in the non-profit service sector.
  • Strong organizational and time management skills.
  • Excellent written and oral communication skills.
  • System and critical thinker and creative problem solver.
  • Able to work independently and as a dependable, proactive, collaborative team player.
  • Takes initiative, self-motivated, growth-oriented, out-of-the-box thinker.
  • Flexible, comfortable with ambiguity, fast learner.

PREFERRED SKILLS:

  • Experience working with Salesforce, research, and/or service data collection processes for at least two years (internship experience counts).
  • Understanding and experience working with multiple stakeholder initiatives and/or projects, specifically community-driven collaboratives.
  • Strong working knowledge of relevant data and databases and platforms to collect service data.
  • At least two years of experience helping service practitioners use data to improve performance.
  • Bilingual capacity (Spanish/English).
  • Experience with Canva and/or other presentation software.

EDUCATION, CERTIFICATION AND LICENSES

  • Bachelor’s degree in a relevant field. An advanced degree is preferred

CONDITIONS OF CONTINUED EMPLOYMENT

  • Must submit to a tuberculosis test annually
  • Must pass the Department of Justice Fingerprint screening

COMPENSATION AND BENEFITS²

Salary Range: This is a part-time position with benefits, with an hourly salary range of $28.02 to $33.00, Commensurate with work experience, qualifications, and education.

All full-time positions are based on a minimum of thirty-five (35) hours per week. This is a part-time non-exempt position at 17.5 hours a week (an equivalent of 50% FTE). The position is eligible to participate in medical, dental, vision, and 403(b) plans, earn vacation, sick leave, paid holidays, two wellness days (birthday and hire date) and receive ongoing opportunities for learning.
