Accounting Assistant - Administration

AGENCY DESCRIPTION:  

Instituto Familiar de la Raza, Inc. is a multi-service community health & social service agency with an emphasis on serving the Chicano/Latino/Indigenous community in San Francisco with a special focus on the diverse needs of the Mission District. Services include a wide range of mental health, HIV related services, and social services, including health promotion, education, prevention, early intervention, case management, clinical, psychological, and psychiatric intervention, as well as cultural/social and spiritual re-enforcement. The agency serves children, youth, adults & families; it has a rich history of working collaboratively with other agencies to meet the needs of the diverse Chicano/Latino/Indigenous communities, & other cultural/racial communities in San Francisco.

JOB/ PROGRAM DESCRIPTION:

Under the direction of the Fiscal Director, the Accountant Assistant provides administrative support across a variety of accounting transactions such as invoices, billings, accounts payable and expenses in accordance with department procedures, including but not limited to maintaining accounting files, checking and verifying accounting data, entering data into computerized accounting systems and using the system to research questions and generate reports.

The Accounting Assistant also performs related general clerical duties in support of accounts payable and receivable.

Essential Job Duties include but are not limited to the following:  

  • Support AP and AR, including obtaining approval of vendor invoices, coding, data entry of invoices and processing payments in SAGE 100
  • Process employee expense reports and reconcile advance payments with staff
  • Monthly bank reconciliation and reporting
  • Support and monitoring bank balances in Excel file
  • Maintain all files and records in accordance with policies and procedures in an organized manner
  • Prepare audit file; provide support to and gather necessary account information and documents for external auditors and other reviews
  • Provides support to the Sr. Accountant, Payroll Specialist and the Fiscal Director as needed

REQUIRED SKILLS:

  • Attention to detail and organized
  • Ten key by touch
  • Payroll, accounts payable, general accepted accounting principles and cash management
  • Knowledge of A/P, A/R and Bank reconciliation
  • Ability to organize, prioritize, and keep filing and work product up-to-date to promote productivity and efficiency
  • Solid accounting background, with knowledge of SAGE 100
  • Proficient with Microsoft Office Suite, including Excel
  • Excellent oral and written communication, strong organizational and interpersonal skills
  • Strong analytical, research, problem-solving and evaluative thinking skills
  • Strong interpersonal skills and the ability to work well with others

PREFERRED SKILLS:

  • Bi-Multicultural competency
  • Experience in a non-profit community agency and knowledge of community resources serving the community in the San Francisco Bay Area
  • Ability to work in a crisis, fast-paced and collaborative environment

EDUCATION, CERTIFICATION, AND LICENSES  

  • AA Degree in Accounting, Finance, General Business and/o one to three years of general accounting experience in administrative accounting support, reporting and reconciliation

CONDITIONS OF CONTINUED EMPLOYMENT

  • Must pass and maintain annual Tuberculosis Test (TB)
  • Must pass Department of Justice Fingerprint screening

COMPENSATION AND BENEFITS²  

Salary Range: This is a full-time position with benefits, with an annual hourly salary of $32.00 - $35.00 commensurate with work experience, qualifications, and education

All full-time positions are based on a minimum of thirty-five (35) hours per week.

This is a full-time exempt position at 35 hours a week. The position is eligible to participate in medical, dental, vision, and 403(b) plans, earn vacation, sick leave, paid holidays, two wellness days (birthday and hire date) and receive ongoing opportunities for learning.

  • Ability to use public and/or private modes of transportation, duties are office-based, but travel to various off-site venues is required
  • Must be able to work outdoors in various types of weather conditions
  • On occasion must lift up to 35 LBS.
